Overview

The Executive Assistant role supports the sales and client retention functions by maintaining CRM data, coordinating communications, and helping manage proposals and follow-ups.

This is a hands-on administrative role focused on organization, accuracy, and timely follow-through.

What You'll Do

  • Maintain and update CRM (HubSpot) with client data, meeting notes, and next steps.

  • Send pre- and post-conference emails and follow-ups to potential and existing clients.

  • Organize and schedule sales meetings, follow-ups, and proposal reviews.

  • Assist in assembling proposals and ensuring they are sent and tracked appropriately.

  • Draft LinkedIn posts or light marketing material for sales visibility.

  • Stay on top of all active deals and ensure nothing slips through the cracks.

  • Handle email and task overflow from the sales lead, acting as a key organizational partner.

Who You'll Work With

Join our highly collaborative sales and client retention team, working closely with the sales lead to coordinate tasks and track activity that drives client engagement and revenue growth.

Who We're Looking For

  • Admin Experience: Prior experience with administrative work, preferably in a sales support or revenue operations environment.

    Experience with email communication is required.

  • Organized & Dependable: Keeps track of tasks, follows through without micromanagement, and ensures nothing slips.

  • CRM Proficiency: Comfortable navigating HubSpot or able to learn it quickly and efficiently.

  • Attention to Detail: Accurately manages client records, proposals, and follow-ups.

  • Clear Communicator: Able to draft professional emails and basic written communication without error.

  • Personality Fit: Reliable, proactive, “get-it-done” type who can be trusted to handle the details after a short ramp-up.
